A free, carrier-specific documentation template that streamlines water, fire, mold, and storm damage insurance claims for Florida homeowners. Covers State Farm, Allstate, USAA, Citizens, Progressive, and all major Tampa Bay carriers.
The first 60 minutes after damage occurs determine 70% of your claim outcome. Photograph and timestamp everything before you do anything else, including water extraction.
Each major Tampa Bay insurance carrier wants documentation submitted in a slightly different format. Submitting in the wrong format does not deny the claim, but it adds 7-14 days to the cycle. Match the format and you skip that delay.
| Carrier | Photo format | Inventory format | Reporting deadline |
|---|---|---|---|
| State Farm | JPG, geotagged, max 10 MB each | Excel or PDF, room-by-room | Notify within 30 days, formal claim within 60 |
| Allstate | JPG or HEIC, no size limit | Allstate Quickfoto Claim app preferred | Notify within 14 days for water |
| USAA | JPG, video walkthrough preferred | USAA mobile app inventory | Notify within 24 hours for emergencies |
| Citizens | JPG, no metadata stripping | PDF inventory with serial numbers for items over $500 | Notify within 14 days, formal within 60 |
| Progressive | JPG, max 5 MB each | Progressive Snapshot Claim portal | Notify within 14 days |
List every damaged item with: room location, item name, brand, model number, serial number, purchase date (approximate is fine), purchase price (approximate is fine), and replacement cost. The replacement-cost field is what the carrier pays out, not the original purchase price.
Florida insurance regulations require homeowners to mitigate further damage within 14 days of the loss. Carriers can deny portions of a claim if mitigation was not started within that window. Document every step:
The complete template (12-page printable PDF with carrier-specific sections, photo checklists, and inventory tables) is available below. Print it before storm season, keep a copy in your hurricane go-bag, and fill it out room-by-room if a damage event occurs.
